Introduction
Monthly status reports (MSRs) are the predictable bane of our collective existences as government contractors, as they typically take a lot of time to collect inputs, collate, and format them. We often can't submit invoices without them, and even though the number of MSRs that customers actually read is pretty low. So here is how you make this monthly pain a monthly breeze.
Step 0: UseRogue.com
Life hack: you can actually put your MSR format into a custom template in UseRogue.com and skip to the end here. If you feel inclined to do it the hard way, here are the steps for using ChatGPT, Bing, Bard, etc.
Step 1: Context
Context is the background information that helps provide meaning and understanding to a particular situation or event. When it comes to writing a monthly status report, context can be extremely important for our AI system because it provides the necessary information that allows the AI to accurately formulate a generation. Try something like this:"You are a program manager working for a company called Rogue supporting the workforce optimization program of Department of Labor"
It should come back with something like this:"I am a Program Manager working for Rogue supporting the Workforce Optimization Program of the Department of Labor. My role is to ensure that the program is running smoothly and efficiently, and that all goals and objectives are met. I am responsible for managing the program budget, overseeing project timelines, and ensuring that all stakeholders are kept informed of progress. I also work closely with the Department of Labor to ensure that the program is meeting their needs and expectations. I have a strong background in project management and a deep understanding of the program and its objectives."
Step 2: Feed it content
Now tell it what it needs to know, namely what to put into the report, as much or as little as you have, here's an example:
"This month Rogue employees did the following: - Support a workforce study of employee productivity - Provided talking points to the Secretary of Labor - Conducted a employee engagement workshop focused on productivity improvement."
The model should basically parrot your words back to you.
Step 3: Tell it what to do
Now comes the fun part, tell the model what you want it to do for you, I suggest something along these lines:"Write me a 500-word monthly report for Rogue's support this month, be highly detailed and follow this format: 1. Monthly Summary 2. Specific Accomplishments 3. Plans for Next Month"
It'll come back with something like this: "Monthly Report for Rogue's Support
Monthly Summary
This month, Rogue has been providing support to the Workforce Optimization Program of the Department of Labor. The team has been working hard to ensure that the program is running smoothly and efficiently, and that all goals and objectives are met. The team has been managing the program budget, overseeing project timelines, and ensuring that all stakeholders are kept informed of progress. They have also been working closely with the Department of Labor to ensure that the program is meeting their needs and expectations.
Specific Accomplishments
This month, Rogue employees have been supporting the Workforce Optimization Program of the Department of Labor in the following ways:
- Supporting a workforce study of employee productivity
- Providing talking points to the Secretary of Labor
- Conducting an employee engagement workshop focused on productivity improvement
The team has also been working on other tasks such as developing new strategies for improving employee productivity, creating reports on the progress of the program, and providing feedback to the Department of Labor.
Plans for Next Month
Next month, the team will continue to provide support to the Workforce Optimization Program of the Department of Labor. They will continue to manage the program budget, oversee project timelines, and ensure that all stakeholders are kept informed of progress. They will also continue to work closely with the Department of Labor to ensure that the program is meeting their needs and expectations.
The team will also be focusing on developing new strategies for improving employee productivity, creating reports on the progress of the program, and providing feedback to the Department of Labor. They will also be working on other tasks such as researching new technologies and tools that can be used to improve the program.
Step 4: Refine as needed
Not bad right? beats the heck out of writing it yourself.
Now, you may want to adjust something, maybe you need more content, perhaps you want to turn a bullet point into a paragraph. If you UseRogue.com then its a simple button click, but with the GPT's you'll have to do something like this: "write a paragraph about Conducting an employee engagement workshop focused on productivity improvement"
to get:
"Conducted an employee engagement workshop focused on productivity improvement was an important part of Rogue's support this month. The team worked closely with the Department of Labor to ensure that the workshop was tailored to the needs of the program and its stakeholders. The workshop was designed to help employees understand the importance of productivity and how to improve it. It included activities such as brainstorming ideas, discussing best practices, and developing strategies for improving productivity. The team also provided feedback and guidance to the Department of Labor on how to best implement the strategies discussed in the workshop."
Still not bad. And you can do this with any number of tasks; making things more concise, more or less formal, more or less technical, etc.
Step 5: Copy and paste into your company template
Last but not least, paste all that goodness into your own MSR format and fire away, your afternoon is now free because a bot wrote your MSR.
